Aerotel General Booking Terms & Conditions
 
The Aerotel General Booking Terms and Conditions (the “Terms & Conditions”, “terms and conditions”, “conditions”) applies to all services booked either online at our website, www.myaerotel.com or through our call centre/ reservation offices. It is important to us that you read these Terms & Conditions before making a booking. By completing a booking process, you acknowledge you have read, understood and agreed to these terms and conditions. The Terms & Conditions are also subject to change without prior notice.
 
Aerotel is a part of Plaza Premium Lounge Management Limited, whose registered office is at Unit 10-12, 2/F, Airport World Trade Centre, 1 Sky Plaza Road, Hong Kong International Airport, Lantau, Hong Kong.
 
Aerotel fully complies with the Personal Data (Privacy) Ordinance (Cap.486) of Hong Kong and other applicable local laws. By making a Booking, you acknowledge and agree that your personal data has been provided to us and may be retained by us for the purposes of the operation of Aerotel’s business, provision of services of Aerotel to you, and offering other services or products of Plaza Premium Group that may be of interest to you. The collection and maintenance of your Personal Data will be in accordance to Aerotel’s Data Privacy Policy.
 
The headings in these conditions are for convenience only and shall not affect their interpretation.

1. Definitions

The following definitions shall have the same meaning regardless whether they are singular or plural. References to any gender shall include the other reference to legal persons and shall include natural persons and vice versa.
“Aerotel", “we”, “our”, “us” means the group of airport transit hotels owned, managed and/or operated by any company of Plaza Premium Group under the brand “Aerotel”.
 
“Airside” means a location in the restricted area of an airport. Departing passengers will need to pass through immigration and customs before proceeding to the Airside area. They must obtain a boarding pass for their onward flight. The same is applicable to the transit passengers.

“Booking” means the details held in our reservations system that describes your reservation information and particulars.

“Customer”, “guest”, “you”, “your”, “yourself”, “passenger” means the person, firm or company booking, or will be using, the Hotel or Lounge facilities, and, for the avoidance of doubt, shall include anyone who accompanies the person or firm or company who will be using the Hotel or Lounge facilities.
 
“Charges” means the charges paid by the Customer to Aerotel in respect of Hotel and/or Lounge Facilities in accordance with Aerotel's charging structure which may be amended by Aerotel from time to time.
 
“Hotel facilities” means the provision of a hotel room, accommodation or private resting area in Airside/Landside area of an airport by Aerotel or Plaza Premium Lounge Management Limited.
“Landside” means a location in the non-restricted area of an airport. Arriving passengers can proceed to the Landside area after completing formalities at immigration, baggage reclaim and customs.
 
“Lounge facilities” means the provision of a waiting area by Plaza Premium Lounge in the Airside/Landside area of an airport with seating and refreshment facilities, including (facilities in different locations may vary):
 
  1. Hot showers facilities including amenities (at selected locations only);
  2. Food and beverages;
  3. Use of computers to access Internet;
  4. DVD / VCD movie viewing (at selected locations only);
  5. Selection of local / International magazines and newspapers;
  6. Power and Internet connection for travellers with laptop computers;
  7. Mobile / laptop battery recharging facilities;
  8. Telephone for local calls;
  9. Flight Information.
     
“Plaza Premium Lounge” means Plaza Premium Lounge Management Limited, whose registered office is at Unit 10-12, 2/F, Airport World Trade Centre, 1 Sky Plaza Road, Hong Kong International Airport, Lantau, Hong Kong.
 
“Plaza Premium Group” means Plaza Premium Lounge Management Limited and its group of companies.

2. Terms Governing Booking

2.1 The Hotel and/or Lounge Facilities provided by Aerotel are subject to these terms and conditions, which the Customer shall be deemed to accept, by booking the Hotel and/or Lounge Facilities and paying the Charges.

2.2 Unless otherwise specified, a Booking is only confirmed when payment has been received by Aerotel in full and a written confirmation is issued to you.

2.3 For online bookings/ transactions made at our website, www.myaerotel.com, the billing organisation will be reflected as Plaza Premium Lounge Management Limited.

2.4 All non-English versions of these conditions are translations of the original version in English for information purpose only.  In the event of any discrepancy, the English version will prevail.  

These terms and conditions will prevail over any terms or conditions proposed by the Customer orally, or on any order form, or similar document, shall not be binding on Aerotel.

3. Hotel and Lounge Facilities

3.1 All specifications, descriptions, drawings, photographs or illustrations and any advertising matter and sample books are only intended to serve as a guide and not to be relied upon by the Customer or treated as binding or as forming part of these conditions or any contract with the Customer.

3.2 Plaza Premium Group shall reasonably endeavour to provide the Hotel and Lounge Facilities during the hours advertised, but reserves the right to vary the hours of operation or close the facility due to refurbishment, relocation or otherwise, in which case an alternative facility will be provided or a refund of the charges will be made at its discretion. In the unlikely event that entry is refused due to capacity constraints, the Customer will receive a complimentary voucher for their next visit.

3.3 Plaza Premium Group shall reasonably endeavour to ensure a suitable environment is maintained at its premises, including but not limited to keeping the area clean and tidy, ensuring staff are on hand to respond to any queries, and ensuring the removal from its premises of any persons whose behaviour is unsuitable.

3.4 Plaza Premium Group shall have the right to refuse a Customer entry to its Hotel or Lounge facility for any statutory, regulatory or airport policy reasons, including but not limited to health and safety policies or fire regulations.

4. Charges

4.1 Charges payable for the Hotel and Lounge Facilities shall be as stated in Aerotel and Plaza Premium Lounge services menu (current at the date of booking).

4.2 Child policy for Aerotel, Transit Hotel and Private Resting Area
4.2.1 The policies covered in this subsection apply to Aerotel, transit hotel rooms and private resting areas provided by Plaza Premium Lounge Management Limited:
  • Children under the age of five (5) may enjoy complimentary access/use when sharing existing bedding with an adult;
  • A usage fee, equivalent to the adult fee, is chargeable if a cot or additional rollaway bed is required, or for children aged five (5) and above;
  • All children must be accompanied at all times by an adult who is at least 18 years old;
  • Plaza Premium Lounge Management Limited reserves the right to request for proof of age as and when it deems necessary.

4.3 Child policy for Lounge, Shower and all other services
4.3.1 The policies covered in this section apply to lounge, shower and all other services not previously mentioned in section 4.2:
  • Children under the age of two (2) may enjoy complimentary access/use;
  • Discounted fee is available for children between two (2) and eleven (11) years old. Discounted fees differ by facilities and location;
  • Full fee is payable for guests aged twelve (12) and above;
  • All children must be accompanied at all times by an adult who is at least 18 years old;
  • Plaza Premium Lounge Management Limited reserves the right to request for proof of age as and when it deems necessary.
 
5. Terms of Payment

5.1 Aerotel will inform you what payment methods are accepted at the time of booking.

5.2 Unless otherwise specified, Customers shall make full payment at the time of booking.

6. Customer's Obligations

6.1 You agree to adhere to any “No Smoking” policies at our premises.

6.2 Cancellation and Amendments
6.2.1 Group Booking
  1. A group booking is a booking of 10 or more persons or 5 or more rooms;
  2. You agree to provide a minimum of 72 hours’ notice by writing to Aerotel or Plaza Premium Lounge (whichever is applicable) to amend or cancel a group booking for any Hotel or Lounge Facilities;
  3. Amendments are subject to availability of facilities;
  4. Cancellation and amendments are subject to a minimum administration fee of USD10 per person;
  5. Late cancellation and/ or failure to arrive at the facility will be considered as No Show and the booking will not be refunded.
6.2.2 Non-group Booking
  1. Except for bookings including Private Resting Area, Transit Hotel Room and/or Aerotel Room, cancellation/ amendments may be made up to 6 hours before the indicated usage/ arrival time at a fee of USD10 per person;
  2. For bookings including Private Resting Area, Transit Hotel Room and/or Aerotel Room, cancellation/ amendments must be made no later than 24 hours before the booked usage or check-in time. A fee of USD10 per person or 25% of the total booking amount, whichever is higher, is payable;
  3. All other services: Cancellation/ amendments may be made up to 6 hours before the indicated usage/ arrival time. A fee of USD10 per person is payable;
  4. Amendments are subject to availability of facilities;
  5. Late cancellation and/ or failure to arrive at the facility will be considered as No Show and the booking will not be refunded.

7. Limitation on Liability

7.1 Subject to clause 7.2, Plaza Premium Lounge Management Limited shall under no circumstances be liable for any indirect, special or consequential loss, including but not limited to loss of profit, loss of contract, loss of revenue or loss of business, however arising whether in contract, tort (including negligence) or statutory duty or otherwise.

7.2 Plaza Premium Lounge Management Limited does not exclude loss arising from death or personal injury caused by negligence.

7.3 Subject to clause 7.2 above, the aggregate liability of Plaza Premium Lounge Management Limited, (whether in contract, tort (including negligence) or breach of statutory duty or otherwise) to no circumstances shall exceed the Charges paid by the Customer for the Hotel or Lounge Facilities.

7.4 Plaza Premium Lounge Management Limited shall under no circumstances be liable for any Customer failing to board his or her flight and neither Aerotel nor any third party hotel provider with whom Plaza Premium Lounge Management Limited has entered into an arrangement for the provision of Hotel or Lounge Facilities has any obligation to make flight announcements.

7.5 Plaza Premium Lounge Management Limited shall under no circumstances be liable or responsible for the personal belongings of any Customer, and a Customer shall take personal belongings into the Hotel or Lounge Facilities area solely at his or her own risk.

7.6 All information, recommendations and advice given by or on behalf of Plaza Premium Lounge Management Limited to the Customer regarding Airport services or flight details are provided without liability on the part of Plaza Premium Lounge Management Limited.

7.7 The Customer shall fully indemnify and compensate Plaza Premium Lounge Management Limited, its employees, sub-contractors and agents in respect of all actions, suits, claims, demands, costs, charges or expenses arising (whether asserted by the Customer or third party) out of or in connection with the provision of the Hotel and/or Lounge Facilities which:
  1. are in excess of Plaza Premium Lounge Management Limited’s liability set out in clause 7.3 above; and
  2. are caused directly or indirectly through the act or omission, wilful misconduct or negligence of the Customer.

 8. Force Majeure

8.1 Aerotel shall not be liable to the Customer for any loss or damage caused to or suffered by the Customer as a direct or indirect result of the provision of the Hotel and/or Lounge Facilities by or on behalf of Aerotel being prevented, restricted, hindered or delayed by reason of any circumstances outside the control of Aerotel.

9. Waiver

9.1 The right powers and remedies provided pursuant to these conditions are cumulative and do not exclude or affect any rights, powers or remedies provided by law. No delay in exercising, or non-exercising by Aerotel of any rights or remedies under these conditions shall operate as a waiver or lease of that right, power or remedy.


10. Variation

10.1 No employee or any other person is authorised to vary any provision of these conditions. However, this does not affect our right to waive any charges or fees payable. A waiver on one occasion does not constitute a waiver on another other occasion.

10.2 Aerotel and Plaza Premium Lounge Management Limited may amend these terms and conditions from time to time at its sole discretion.

11. Governing Law

11.1 These Conditions shall be construed in accordance with Hong Kong Special Administrative Region ("Hong Kong") laws, or other applicable laws/ government regulations. In the event any provision within these Conditions is inconsistent with any applicable laws, government regulations, orders or requirements that apply to your Booking with Aerotel, and cannot be waived by agreement of the parties, such provision shall not apply. Even if a provision is invalid, it shall not affect the validity of any other provision.
